Special Assistant to the Executive Director
Reports to: Executive Director
Status: Full-Time
Location: Arlington, VA
Overview:
The Special Assistant to the Executive Director plays a vital role in providing comprehensive administrative and organizational support to the Executive Director, ensuring the effective management of daily operations. This position requires a task-oriented individual with exceptional skills in scheduling, time management, organization, and communication. The ideal candidate will thrive in a fast-paced environment, proactively anticipate needs, and maintain a high level of professionalism and confidentiality.
Key Responsibilities:
- Efficiently manage the Executive Director’s calendar, including scheduling, confirming, and organizing appointments, meetings, and travel.
- Proactively identify and resolve scheduling conflicts, ensuring seamless coordination across all engagements.
- Prioritize and manage tasks for the Executive Director, ensuring deadlines are met and time is optimized for strategic focus.
- Track and manage ongoing projects, providing regular status updates and identifying key actions to be taken.
- Act as a primary point of contact for the Executive Director, handling incoming communications, routing messages, and drafting responses as needed.
- Prepare and review documents, presentations, and reports for accuracy and alignment with organizational standards.
- Prepare agendas, materials, and notes for meetings, ensuring all necessary information is organized and accessible.
- Attend meetings as needed to take notes, track action items, and follow up with relevant stakeholders to ensure completion.
- Maintain an organized filing system for both digital and physical documents, ensuring records are up-to-date, easily accessible, and secure.
- Support the Executive Director with documentation, presentation creation, and data entry as required.
- Assist with special projects and initiatives, providing administrative support and coordinating resources.
- Manage key projects as assigned, ensuring timely completion and alignment with organizational goals.
- Arrange travel logistics for the Executive Director, including booking flights, accommodations, and transportation.
- Prepare detailed itineraries, including meeting information, travel times, and logistical details to ensure smooth travel experiences.
Experience/Education/Qualifications:
- High school diploma or equivalent
- Associate’s degree or higher
- 1-3 years prior administrative experience
- Excellent written and oral communications
- Strong interpersonal relationship-building skills
- Professionalism and diplomacy
- The ability to work as a member of a team and follow instructions and procedures
- Effective time management skills; detail-oriented and well-organized
- Experience in scheduling is desired but not a requirement
- Ability to learn new skills in short order

Research Associate
Reports to: Policy Director
Status: Full-Time
Location: Arlington, VA
Overview:
American Principles Project (APP), the nation’s premier national organization defending the family in politics, is seeking a highly skilled and motivated Research Associate to support APP’s policy team.
Key Responsibilities
- Research: Collect and analyze relevant information to help develop APP reports, policy briefs, legislative vote recommendations, agency comments, and other projects
- Message Development: Assist in the drafting and editing of op-eds, press statements, and other external communications.
- Editorial Excellence: Ensure all written materials reflect the highest standards of clarity, grammar, style, and appropriate messaging.
- Team Collaboration: Manage interns and/or contractors as needed to ensure the timely completion of high-quality research products.
- Executive Speechwriting: Draft and edit speeches, remarks, and talking points for APP’s senior leadership, particularly the President and Executive Director.
- Staff Support: Provide additional assistance to the APP team where necessary, including staffing policy events, joining coalition meetings and calls, and representing APP at its annual gala and other major fundraisers.
Qualifications:
- Bachelor’s degree in Political Science or a related field.
- Strong writing, editing, and proofreading skills with an eye for detail.
- Excellent research skills and the ability to translate complex information into clear, accessible content.
- Creative thinker with the ability to generate innovative ideas and solutions.
- Ability to work both independently and collaboratively in a fast-paced environment.
- Capacity to multitask and manage multiple projects simultaneously with little supervision.

Fundraising Associate
Overview:
We are seeking a highly motivated and detail-oriented Fundraising Associate to play a key role in supporting our fundraising and donor relations efforts. This role is essential to maintaining the integrity of our donor database, tracking fundraising metrics, and working closely with both the Director of Data Operations and Director of Development to execute our overall fundraising strategies The ideal candidate will possess excellent interpersonal, communication, and analytical skills, a passion for building relationships, and the ability to professionally represent APP.
Key Responsibilities:
- Manage and maintain the donor database (CRM), ensuring data accuracy and completeness.
- Process donations, generate acknowledgment letters, and track donor communications to facilitate personalized communication with donors.
- Create and analyze reports on donor-giving trends, campaign performance, and fundraising metrics to assist in data-driven decision-making and strategy.
- Assist in donor segmentation, prospect research, and data-driven fundraising strategies.
- Facilitate donor relations efforts by communicating with donors regularly, in writing and verbally to ensure continued engagement and support of APP’s mission.
- Support event planning by managing invite lists, tracking attendance, and compiling post-event reports.
- Work with the development team to ensure seamless data entry and reconciliation with finance records.
- Improve and implement best practices for data hygiene, donor record management, and reporting.
Experience/Education/Qualification:
- High School Diploma or equivalent Associate’s Degree or higher
- Experience with donor databases/CRM systems (Salesforce, Pipedrive, Raiser’s Edge, or similar).
- Strong analytical skills and attention to detail.
- Excellent interpersonal skills
- Proficiency in Microsoft Excel and/or Google Sheets.
- Experience generating and interpreting reports to support fundraising efforts.
- Ability to work independently and collaboratively within a team.
- Impressive communication and organizational skills.
- Previous experience in nonprofit fundraising, development, or data management is a plus.

Internships
Each semester, interns play a critical role in helping APP promote and defend the family. We are always seeking energetic interns interested in joining the team to help with both policy-related and administrative responsibilities.
Some of the typical day-to-day tasks handled by APP interns include conducting research and analysis for the organization’s programs, drafting statements and press releases, attending meetings or events on behalf of APP, answering phones, receiving office guests, distributing mail, and running other errands as needed.
A modest monthly stipend may be offered to interns to offset travel and other costs associated with the internship.
